Retreat Booking, Payment & Cancellation Policy

To secure your place on one of our retreats, a 50% deposit is required at the time of booking. Your place is not confirmed or reserved until this payment has been received.

Our retreat accommodation and other arrangements are booked and financially committed to well in advance, based upon the number of guests who have confirmed that they will be attending. Your deposit therefore secures your place and contributes towards the costs and financial commitments associated with organising the retreat.

The remaining 50% balance must be paid in full no later than 15 weeks before the retreat begins. If you book a retreat within 15 weeks of its start date, the full retreat price will be payable at the time of booking. If the outstanding balance is not received by the payment deadline, we reserve the right to treat your booking as cancelled and offer the place to somebody else, subject to applicable consumer law.

If You Need to Cancel

If you are unable to attend after confirming your booking, please let us know as soon as possible. As accommodation and other retreat costs are arranged and committed to in advance on the basis of confirmed bookings, cancellation may result in the loss of some or all of the payments you have made, to the extent necessary to cover the costs and losses arising from your cancellation.

If you are able to find another person who wishes to take your place, a transfer may be permitted provided that the replacement guest is suitable for the retreat, agrees to these booking terms and pays any outstanding amount due. All transfers must be agreed with us in advance.

If you are unable to find somebody to take your place, we will make reasonable efforts to offer the place to another guest. However, particularly when a cancellation occurs close to the retreat date, we cannot guarantee that a replacement guest will be found.

If we successfully resell your place at the full retreat price, the amount received from the replacement guest will be taken into account when calculating any refund due to you, together with any reasonable costs or losses already incurred as a result of your original booking and cancellation.

If your place can only be filled by offering it to another guest at a reduced price, any refund available to you will be adjusted accordingly. For example, if we have to substantially reduce the retreat price in order to fill your place at short notice, the difference between the original price and the amount recovered from the replacement booking may be deducted when calculating any refund.

We will not seek to recover the same loss twice. If your cancelled place is successfully resold, the amount received from the replacement guest will therefore be taken into consideration when determining what, if anything, remains payable or refundable.

We strongly recommend that all guests purchase appropriate travel insurance including cancellation cover as soon as their retreat is booked. This may provide protection if illness, bereavement, family circumstances or another unexpected event prevents you from attending.

If We Cancel the Retreat

In the unlikely event that we have to cancel the retreat, payments you have made directly to us for the retreat will be refunded. We cannot accept responsibility for additional expenses that you have arranged independently, such as travel, hotels or other associated costs. For this reason, appropriate travel insurance is strongly recommended.

Agreement to These Terms

By paying your deposit, paying the full retreat fee or making any payment towards your retreat, you confirm that you have read, understood and agreed to this Retreat Booking, Payment & Cancellation Policy. Payment constitutes acceptance of these booking terms, whether your booking is made through our website, by bank transfer, through a payment link or by another agreed payment method.

Where a booking is made through our website, you will also be asked to confirm your acceptance of these terms before completing your booking.
